Europe Outsourcing Manager and Audit Coordinator (Frankfurt)

Our client is an international financial services organization, providing investment services in banking, finance, and capital markets to corporations, institutional investors, asset managers, and governments globally.

What is the opportunity?

The Europe Outsourcing Manager and Audit Coordinator has responsibility for managing two important deliverables for our client in Europe.

The Outsourcing Manager’s function is to support the Management Board in devising and implementing the European outsourcing strategy, collaborating with stakeholders across geographies in managing outsourcing risk, and ensuring compliance with regulatory and enterprise policies & guidelines.

The Audit Coordinator’s function is to manage information requests and ownership of remediation activities for the external audits of our client EU division, produce management reporting in supporting the Audit and informing the board, and establish comprehensive processes for the long-term management of external audits.

What will you do?

Outsourcing Manager function:

  • In collaboration with enterprise subject matter experts (SMEs), Function leads, and business owners, establish and implement outsourcing governance in line with section AT9 of the MaRisk (Outsourcing), EBA-Guidelines, and our client outsourcing governance policies;

  • Support the implementation of monitoring controls and metrics for outsourced services;

  • Support business owners in identifying outsourced relationships, risk assessments, and compliance with the outsourcing governance and controls;

  • Ensure the engagement owners are monitoring, reviewing, and mitigating outsourcing risks;

  • Support the Management Board in the entity outsourcing strategy, and managing outsourcing risks;

  • Ensure the outsourcing register is updated in a timely manner, with the appropriate contract and SLAs in place for each outsourcing arrangement;

  • Influence enterprise policies and procedures to incorporate local requirements, and where needed support the development and implementation of local outsourcing policies and procedures;

  • Escalate material issues and risks to the Management Board;

  • Develop, publish, and present reports relating to outsourced activities to key stakeholders and relevant risk committees;

  • Develop the compliance standards for contracts and outsourcing relationships in collaboration with Data Privacy, Risk Management, Legal, Compliance, Information Security, Business Continuity Management, and Vendor Management;

  • Act as SME for key stakeholders, including Internal and External Audit, Regulators, and Management Board.

Audit Coordinator function:

  • Drive and maintain the principle of clear ownership and accountability within the applicable businesses or functional areas for issue management and resolution.

  • Establish, communicate, and embed comprehensive processes relating to the ongoing management of external audit information requests and perform day-to-day coordination activities:

- Act as a single point of contact between the external auditor and internal stakeholders, undertaking day-to-day management and co-ordination of information requests;

- Drive and maintain the principle of issue ownership within each respective functional or business area with clearly identified individuals on point for each item;

- Create status reports and MI on information request progress including early identification of emerging themes.

  • Facilitate the review of Audit findings and reports; challenge proposed remediation plans where appropriate for comprehensiveness and consistency:

- Manage Senior Management review of draft audit reports and feedback prior to finalization;

- Ensure remediation work is recorded in appropriate tools such as RegComp and proactively monitor remediation status;

- Provide management reporting on remediation status and adherence to due dates;

- Review drafting of documentation required to address audit findings for consistency and adherence to regional requirements.

  • Draft and receive senior management sign-off on the transition plan and activities required to embed audit coordination processes into a BAU state.

What do you need to succeed? Must have qualifications:

  • University degree (Bachelor’s degree) or equivalent;

  • Extensive years of relevant work experience. Preferably in Vendor Management, Outsourcing Management, Operational Risk, or Regulatory Compliance;

  • Knowledge of MaRisk and EBA Outsourcing Guidelines, or a strong understanding of related risk management principles;

  • Familiarity with the regulatory landscape facing global banks. Ideally, experience in the banking industry, consulting or regulator institutions;

  • Demonstrable Project Management experience;

  • Effective communicator and facilitator, both verbally and in writing. Able to clearly define and communicate ideas, and calibrate the message depending on the audience;

  • Experience in analyzing, implementing, and supervising regulatory requirements;

  • Ability to operate in large and complex environments, spanning multiple jurisdictions and legal entities;

  • Strong interpersonal skills to influence others to action;

  • Self-driven, organized and pro-active in driving results;

  • Risk management focused with strong attention to detail and delivery; including the ability to multi-task and identify methods for greater efficiency;

  • Comfortable dealing with ambiguity and developing a clear path forward;

  • Comfortable in challenging others;

  • Fluently speaking German and English.
